Context

An internal AI assistant may answer questions accurately while showing information to the wrong employee. Retrieval quality and access control are separate requirements. Before connecting a knowledge index, decide which documents each user may retrieve and how the application will enforce that decision.

Carry an authorization boundary into retrieval

Start with the organization's source permissions and a trustworthy application identity. Document how document access metadata reaches the search index and how a query is limited to the current user's authorized scope. Azure AI Search documents a security-filter pattern for trimming search results. Whatever platform you choose, the application must apply the intended authorization mechanism consistently. A prompt telling a model not to reveal private information does not establish that boundary.

Treat citations and snippets as sensitive output

Review every place retrieved content can appear: answer text, source titles, previews, citations, downloadable files and support diagnostics. A blocked final answer is not enough if its source panel exposes a private document name or snippet. Decide which metadata is safe to reveal and apply the same rule to exports. Avoid recording full confidential passages in general application logs merely to troubleshoot retrieval ranking. Give support staff an approved diagnostic path with a clear retention policy.

Test access changes and cached answers

Create a permission test matrix using controlled documents and users from different departments. Include a user who has no access, a user whose access was revoked and a document moved between groups. Check whether indexing delays or cached answers preserve information after the source permission changes. Define a policy for that transition and test it explicitly. Cache keys must reflect the authorization assumptions of the answer rather than reusing one response indiscriminately across the company.

Set measurable acceptance criteria

Agree that an unauthorized user must not retrieve the protected passage, see its private citation or obtain it through a differently phrased query. Test source deletion and permission synchronization failures, then decide whether the application should fail closed. Review model quality independently using permitted content so a permission fix is not mistaken for a relevance regression. Keep an owner for each index and source connector. The delivery should include a demonstrated permission boundary, documented synchronization expectations and an escalation process for suspected information exposure, alongside ordinary answer-quality evaluation.

Clouvenix can review the scope through AI application engineering, with acceptance checks agreed before implementation.
