CLOUVENIX / TRUST & TRANSPARENCY

Privacy Notice

Who this notice covers

This notice describes information handled through the Clouvenix website and its enabled business features. Clouvenix is the business identity used on this website. Contact [email protected] about privacy. A separate service agreement identifies the contracting entity and customer-specific data-processing responsibilities.

Information and purposes

Enquiries can include your name, email, company, service interest and message. We use these details to understand your request, reply and discuss an engagement. Required fields are marked; without a reply address or sufficient context we may be unable to respond. Do not submit passwords, private keys, payment details or unnecessary sensitive information through the enquiry form.

Where academy or team features are used, authorized staff may maintain learner names, course and instructor details, certificate records, employee contact information and photos, assignments, tickets and time or break entries. These support the relevant training, verification or workplace activity. They are different from an ordinary public website visit.

Hosting and security systems may process IP addresses, request times, browser information and errors for delivery, troubleshooting and abuse prevention. Essential sign-in storage and external font requests are explained in the Cookies Notice.

Processing context

Uses include answering enquiries, preparing requested proposals, providing agreed services, administering training, supporting authorized team workflows and protecting the platform. Depending on the activity and applicable law, the relevant basis may be steps requested before a contract, an agreement, consent for an optional activity, legal obligations or proportionate business and security interests. A service engagement may require a more specific notice or data-processing agreement.

Providers and international processing

Authorized team members receive information relevant to their responsibilities. Configured hosting, email, storage, CDN and other providers may process information for the enabled feature. Enquiry notifications can pass through the selected SMTP provider. Storage can be local or cloud-backed; support for a provider does not mean every provider is active.

Optional AI-assisted administrative tools can send information entered into the tool to its configured provider. Staff should use approved information and avoid unnecessary personal or confidential material. This notice is not permission to use customer data for unrelated AI training or marketing.

Provider locations and remote access can involve more than one country. Locations, contractual safeguards and customer requirements need to be established for the particular service. Contact us for relevant details; choosing a cloud region alone does not satisfy every international-transfer requirement.

Public credential verification

A certificate link or QR code can reveal published details needed to verify it, including learner name, course, issue information and status. Someone holding that reference may be able to view those details. Do not include private identity-document or unrelated employment information in a public credential. Contact us about correction or withdrawal of an inaccurate record.

Retention and protection

Retention depends on the purpose, active engagement, record accuracy, credential verification, applicable legal duties, dispute handling and backup lifecycle. Removal from an active system does not promise immediate removal from every backup. Access restrictions and operational controls support protection, but no website or transmission method guarantees absolute security.

Requests, objection and choices

Contact us to ask about your information, request correction or deletion, or object to a use. Access, restriction, portability and other rights depend on applicable law and context. Where consent is the basis, you can withdraw it for future optional processing. You can object to direct marketing and ask to stop receiving it. Proportionate identity or authority checks may be needed before a request is fulfilled.

Email [email protected] with enough context to locate the record, without unnecessary sensitive documents. You may complain to the relevant data-protection authority where that right applies, including the UK ICO for matters within its remit.

Updates and linked services

This notice may change when features, providers or practices change. The update date identifies this version. Linked third-party services have their own notices; review them before providing information directly.
