Service overview
Workspace security depends on identity, applications and the information people share every day. Clouvenix reviews selected Google Workspace controls with the organization’s administrators and business owners. We assess sign-in protection, privileged roles, third-party application access and sharing behavior, then stage agreed improvements with pilot users. The engagement produces evidence and ownership for the chosen controls without assuming one restrictive policy suits every department.
When this service is useful
This engagement helps Google Workspace administrators review identity, sharing and administrative controls against their organization's working practices. It is useful when external sharing is poorly understood, privileged roles are broad or account recovery depends on one person. We assess selected settings and user journeys together, making the likely business impact and the owner of each proposed change visible before enforcement.
Design and operating decisions
Account protection and administrative roles
We review sign-in requirements, privileged access and recovery arrangements within the available Workspace capabilities. Human administrators and application integrations need separate consideration. Proposed restrictions are piloted with representative users, and emergency administration is documented so stronger access controls do not remove the customer's ability to recover from a sign-in or configuration problem.
Sharing controls and information ownership
Drive and collaboration settings should reflect how teams work with internal and external recipients. We identify important sharing patterns and the owners who can approve changes. Existing shared content and integrations are considered before a broad restriction, with exceptions and review conditions recorded so legitimate collaboration has an understandable support route.
Scope and deliverables
- Administrator and sign-in security assessment
- Third-party OAuth and application-access review
- Drive and collaboration-sharing boundary review
- Recovery and privileged-account procedures
- Staged remediation and control validation
Delivery approach
1. Map access and collaboration needs
Identify administrator roles, user populations, business applications and important sharing scenarios. Confirm edition capabilities and existing recovery methods.
2. Review and pilot selected controls
Assess the agreed sign-in, OAuth or sharing settings, then test proposed changes with a bounded user group. Record exceptions needed for legitimate work.
3. Verify and hand over operation
Validate selected normal and prohibited scenarios. Document control owners, review cadence and the investigation path for access or sharing incidents.
Illustrative engagement
An illustrative engagement could review a tenant where external file sharing has expanded without consistent ownership. We inspect agreed settings and representative content relationships, then work with business owners to define a pilot sharing policy. Users test selected collaboration tasks and administrators rehearse recovery access. Findings identify content or integrations needing separate cleanup. Acceptance describes the controls and workflows examined without implying that a configuration assessment has discovered every sensitive file or inappropriate historical share in the organization.
Acceptance evidence
| Area | Evidence reviewed |
|---|---|
| Identity | Pilot users complete the approved sign-in path and privileged-account responsibilities are recorded. |
| Applications | Selected third-party access has an owner and an accepted allow, restrict or removal decision. |
| Sharing | The agreed sharing boundary is tested with representative files and authorized participants. |
Before we start
We need approved administrator access, edition details, application inventories, business-sharing requirements and pilot users. Recovery-account custodians should participate before restrictive changes.
Planning the scope
Scope depends on tenant size, edition capabilities, organizational units, applications and collaboration patterns. Historical sharing cleanup may need business-owner review. Discovery separates security configuration from a full content classification program, regulatory attestation and ongoing user support, confirming the pilot groups and important user tasks before restrictive controls or administrative role changes are rolled out broadly.
Handover and ownership
Handover provides the assessed settings, administrative role map, implemented changes and an exception register. We identify who approves access or sharing changes and where operators investigate related user problems. Customer administrators receive recovery instructions and known visibility limitations, together with a prioritized backlog of account, content or integration work beyond the initial implementation.
Ongoing operations
After delivery, new applications, groups and external collaboration needs should enter the review process. Administrators need ownership of exceptions, account lifecycle and recovery checks. We document that operating route and its review cadence, while ongoing tenant administration, information cleanup and incident response coverage are explicitly agreed according to the customer's security and collaboration needs.
Boundaries and support
Features depend on the Workspace edition and configuration. This review does not certify compliance or guarantee protection from every phishing or account-compromise scenario.
Frequently asked questions
Can you enable stronger sign-in controls?
We assess available authentication controls, recovery access and user readiness, then stage the approved change with a pilot and clear exception handling.
Will external sharing be disabled?
The policy follows approved collaboration needs. We test the intended restricted and permitted cases rather than blocking every external workflow by default.
Can you review connected applications?
Yes. We identify selected OAuth integrations, their requested access and their owners, then coordinate approved restrictions or removals with the affected users.
