Service overview

A useful knowledge assistant must retrieve the right material for the right user and make uncertainty visible. Clouvenix scopes retrieval-augmented generation around approved documents, access boundaries, ingestion and answer evaluation. We help teams build a bounded knowledge workflow with source references and failure handling. The engagement treats retrieval quality, permission enforcement and model behavior as separate concerns rather than assuming a connected model knows the organization’s information.

CHAPTER

When this service is useful

This service helps organizations build retrieval-augmented knowledge applications around an agreed collection of information and user questions. It is useful when a basic chat interface cannot reliably find relevant material or respect access boundaries. We review source quality, permissions, retrieval and evaluation together, keeping the application's answers traceable to available evidence and its limitations visible to the people who will use it.

CHAPTER

Design and operating decisions

Source ingestion and permission boundaries

We identify the authoritative documents, their update path and the access each user should have. Parsing, chunking and indexing choices must preserve enough context for useful retrieval. Permissions need validation across ingestion and query paths, so an application does not expose restricted material simply because that content was copied into a shared search index.

Retrieval evaluation and answer behavior

We assemble representative questions and the evidence a useful response should retrieve. Evaluation separates retrieval failures from answer-generation problems and includes questions the system cannot answer from its sources. Citations, uncertainty and refusal behavior are designed around the use case, while sensitive or consequential decisions require an appropriate human review process agreed with the customer.

CHAPTER

Scope and deliverables

  • Knowledge-source and permission-model discovery
  • Document ingestion and indexing workflow
  • Retrieval, chunking and metadata design
  • Grounded answer and source-reference behavior
  • Evaluation cases and operating handover
CHAPTER

Delivery approach

1. Define users, sources and success cases

Identify authorized knowledge, document owners and representative questions. Agree how restricted, outdated or missing information should affect retrieval and the answer.

2. Implement the retrieval workflow

Build the approved ingestion, indexing and query path with permission-aware access. Validate source references and avoid treating retrieved instructions as application authority.

3. Evaluate and hand over operation

Test representative correct, unsupported and cross-permission questions. Record failure cases, source-update behavior, provider dependencies and the process for reviewing quality changes.

CHAPTER

Illustrative engagement

An illustrative engagement could create an internal support assistant for a selected set of approved operating guides. We ingest that collection, map user access and evaluate representative questions with the support team. Tests include an outdated guide, a question without supporting evidence and a request for restricted information. The customer reviews retrieved passages and answer behavior. Acceptance records the evaluated scope and remaining limitations, without claiming that fluent answers are always correct or that the application can replace responsible expert judgment.

CHAPTER

Acceptance evidence

AreaEvidence reviewed
AccessAn approved user cannot retrieve the selected restricted source through the test workflow.
GroundingRepresentative answers identify supporting sources and follow the agreed behavior when evidence is insufficient.
EvaluationThe team receives repeatable question cases, observed limitations and ownership of document and index updates.
CHAPTER

Before we start

Provide approved documents, user-access rules, data-handling requirements, model-provider constraints and reviewers who know the subject matter. Test material must be authorized for the chosen services.

CHAPTER

Planning the scope

Effort depends on source formats, document quality, access rules, language needs and integration with the chosen model and retrieval services. Evaluation requires customer subject-matter participation. Discovery separates the knowledge application from unrestricted data cleanup, model training and guaranteed answer accuracy, selecting the approved collection, user group and acceptance examples before broad ingestion or production access is enabled.

CHAPTER

Handover and ownership

Handover provides source and permission records, ingestion configuration, evaluation examples and runbooks for stale or missing information. We identify who approves source changes and who reviews problematic answers. Customer operators receive cost and usage assumptions and an explicit limitation register, giving the team a repeatable route to improve the system as documents, users and required questions evolve.

CHAPTER

Ongoing operations

After release, sources, permissions and model behavior can change the evaluated results. The operating plan covers freshness, failed ingestion, usage and review of reported answers. We document ownership and human escalation, while ongoing content stewardship, evaluation cycles and application support are explicitly scoped around the customer's knowledge use case and operating requirements.

CHAPTER

Boundaries and support

Generated answers can be incorrect and require suitable review for consequential use. Provider costs, data residency, production-scale evaluation and regulated decision-making need explicit requirements.

CHAPTER

Frequently asked questions

Can the assistant respect document permissions?

Permission-aware retrieval can be designed around the available source identities and metadata. Acceptance includes an explicit restricted-document test with approved users.

Does RAG eliminate hallucinations?

No. We evaluate source support and define behavior for insufficient evidence, but model output still needs appropriate validation and oversight.

What happens when documents change?

The operating model defines source ownership, update detection, reindexing and quality checks so stale content and changed permissions can be addressed deliberately.
